Office Manager - Replacement for maternity leave (f/m/x)

As an Office Manager in iX Studio Zagreb, you will oversee numerous office management areas while collaborating with an international team in an agile environment.  If you want to be in charge of a smooth office operation, and you feel you can handle your tasks in a proactive and organised way with excellent manners, good communication and a touch of humour, even during occasional high-pressure moments – then this is a perfect opportunity for you!
We are looking for you to join our Office Management Team as soon as possible in full-time (40 hours per week) – fully on site in Zagreb (home-office is mostly not possible). Also, be aware that this position is a maternity leave replacement only (limited employment contract).

Your tasks

  • You run all aspects of Office Management, including Real Estate Management and Facility Management, Fleet Management, Travel Management, Travel Expenses and Administrative Tasks
  • You collaborate closely with various corporate service departments such as Finance, Accounting, People’s Team, Controlling, IT
  • You manage Front Desk operations, ensuring our guests feel welcome and have everything they need
  • You shape the first impressions of our customers and partners while creating a positive, warm, and supporting office atmosphere
  • You proactively and independently organise and prioritise all Office Management service area, according to company’s policies and procedures
  • You act as a primary contact for the location manager and employees regarding all Office Management services

Your skills

  • You have at least 1 years of professional experience in office management, administrative or related business area in an office with around 100 employees
  • You have a cheerful personality with a positive and solution-oriented attitude and an analytical and agile mindset
  • You enjoy working with people in a fast-paced environment, but can remain calm and professional even in high pressure moments
  • You are absolutely trustworthy and discrete while performing various tasks
  • You are independent, systematic and organised, proactive and flexible
  • You have very good verbal and written English language skills, German language skills are only an advantage
  • You have good knowledge of MS Office and you are an active driver (driving license is a must)
